The short version
- We write your venue’s procedures from your answers. You stay the responsible person for the venue and for what the procedures say once you adopt them.
- We do not notify the regulator for you, visit your venue, or give legal advice.
- £295 including VAT per site. Ready within 2 working days of your completed form. Free corrections for 14 days. Full refund within 14 days of delivery, no questions asked.
- If something goes wrong, our liability is limited to the price you paid, except where the law does not allow that.
1. Who we are
Venue Procedures is a trading name of Roam Digital Ltd, registered in England and Wales, company number 12004081, registered office Silverstream House, 45 Fitzroy Street, London W1T 6EB. VAT number GB479643830. You can reach us at hello@venueprocedures.co.uk.
We are a private company. We are not part of, or approved by, the Home Office or the SIA.
2. What you are buying
A written pack of procedures for one site in the standard tier of the Terrorism (Protection of Premises) Act 2025 (Martyn’s Law), drafted from the answers you give in our order form and following the government’s statutory guidance. The pack is described on our main page. It includes evacuation, invacuation, lockdown and communication procedures, a scope record, a ruled-out record, a staff briefing and wallet card, a briefing register, a hirer clause where relevant, a notification sheet and a grab bag checklist.
The pack is a draft of your procedures. It becomes your procedures when you read it, correct it where needed and adopt it.
One order covers one site. If you are responsible for more than one site, each needs its own order.
3. What we do not do
- We do not notify the regulator for you. The pack sets out the details the law asks for, and you send them yourself.
- We do not visit your venue or inspect it. The pack is based only on what you tell us.
- We do not give legal advice, and the pack is not a security survey or risk assessment carried out by a security professional.
- We cannot promise that the regulator, a court or anyone else will agree that your procedures meet the duty. That depends on your venue, on how you put the procedures into practice and on how the law is applied.
- We do not sell or recommend equipment, building work or training.
4. What stays with you
The law places the duty on the responsible person for the venue. Buying a pack does not move any part of that duty to us. In particular, you are responsible for:
- giving us accurate and complete answers, and telling us if anything changes before we deliver;
- reading the pack, checking that every door, room, name and number is right, and telling us or correcting it yourself if not;
- deciding to adopt the procedures, putting them into practice and making sure the people who would carry them out know their part;
- sending your own notification to the regulator when its online service opens, and keeping it up to date;
- reviewing the procedures when your venue, your people or the way the venue is used changes, and when the law or guidance changes;
- your fire safety duties, licensing and any other legal duties, which the pack does not cover.
5. Price and payment
The price is £295 including VAT at 20% for each site, paid in full by card when you order. There is no subscription and nothing else to pay. You receive a full VAT invoice showing £245.83 plus £49.17 VAT.
6. The order form and delivery
After you pay, we email you a link to the order form. When we receive your completed form, we deliver your pack by email within 2 working days. Working days are Monday to Friday, excluding bank holidays in England, Wales or Scotland. If we need to ask you something about your answers, the 2 working days start again when you reply.
If your answers show that the standard tier does not fit your venue, for example because fewer than 200 people can be expected there at once, or because it falls in the enhanced tier, we stop before writing anything, tell you why, and refund you in full.
If we cannot deliver within 2 working days, we will tell you, and you can choose to wait or cancel for a full refund.
7. Corrections
If anything in the pack is wrong or missing because of our mistake, or because an answer was unclear, tell us within 14 days of delivery and we will correct it free of charge, normally within 2 working days. You can also edit the procedures yourself at any time.
8. The free update
The regulator plans to publish free, optional templates for the standard tier, and final guidance. If either is published within 18 months of your delivery, we will update your pack once to match it, free of charge, and email it to you. You do not need to do anything to claim this.
9. Refunds
If the pack is not right for you, email us within 14 days of delivery and we will refund the full £295 to the card you paid with, normally within 5 working days and always within 14 days. No questions asked, and you do not need to have used the corrections first.
If you cancel after paying but before sending the order form, we refund you in full.
If you buy as a consumer, these refund rights are in addition to your legal rights, not instead of them.
10. Using the pack
Once you have paid, you may copy, edit, print and share the pack as much as you like for running your venue: with your staff, volunteers, committee, trustees, hirers, landlord, insurer, the regulator and the emergency services. You may not sell it or pass it off as a template for other venues. We keep the copyright in our own wording and layout, and may reuse that wording in other packs, but never your venue’s details.
11. Our liability
We take care to write each pack accurately from your answers and in line with the published guidance. Within the limits the law allows:
- our total liability to you for anything arising from your order, whether in contract, negligence or otherwise, is limited to the price you paid for that order;
- we are not liable for loss of profit, loss of business, loss of data or any indirect or consequential loss;
- we are not liable for loss caused by answers that were inaccurate or incomplete, by changes you or others make to the pack, or by decisions taken by you, your staff, volunteers or anyone else during an incident.
Nothing in these terms limits or excludes liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited or excluded by law. If you buy as a consumer, nothing in these terms affects your statutory rights.
12. Your information
We use the information you give us only to provide the pack, invoice you and keep the records the law requires. Our privacy notice explains how.
13. Complaints
If you are unhappy with anything, email hello@venueprocedures.co.uk. We reply within 2 working days and aim to sort things out within 14 days.
14. Changes to these terms
We may update these terms from time to time. The terms that apply to your order are the ones shown here on the day you paid.
15. Law and courts
These terms are governed by the law of England and Wales, and the courts of England and Wales can hear any dispute. If you buy as a consumer and live in Scotland or Northern Ireland, you can also bring proceedings in your local courts, and the consumer protections of your local law still apply.
