The short version

  • We collect what we need to answer your check, write your pack and invoice you. Nothing else.
  • We never sell your information or pass it on for anyone else’s marketing.
  • We only email you updates if you tick the box asking for them, and you can stop them at any time.

Venue Procedures is a trading name of Roam Digital Ltd, registered in England and Wales, company number 12004081, registered office Silverstream House, 45 Fitzroy Street, London W1T 6EB. What we collect and why

When you use the free checker. Your answers stay in your browser and are not sent to us. If you ask us to email you the summary, we receive your email address, the venue name if you give one, your three answers and the result. We use them to send that one email. Basis: our legitimate interest in sending the summary you asked for.

If you tick the box for updates. We keep your email address and venue name to send you up to three short guides in the two weeks after you use the checker, and to tell you when the guidance or the start date changes. Each email has a way to stop. Basis: your consent, which you can withdraw at any time by replying STOP.

When you order a pack. Your name, organisation, billing address, email address, the order reference, the amount paid and whether a refund was made. Card details go straight to our payment provider; we never see your card number. Basis: performing the contract you make when you order, and our legal duty to keep tax records.

Your order form answers. Details about your venue and how it runs, and the names, roles, phone numbers and email addresses of the people you list, such as the person in charge, their deputy and key holders, plus any floor plan you attach. We use them only to write, correct and update your pack. Basis: performing the contract. If you name other people, please let them know you have given us their details for this purpose.

When you email us. Your email address and what you wrote, so we can reply. Basis: our legitimate interest in answering you.

We do not use your information to train AI models, build profiles or send marketing you have not asked for, and we never use one venue’s details in another venue’s pack.

Some of these providers handle data outside the UK. Where they do, the transfer is covered by UK adequacy regulations or by the UK’s standard data transfer agreements.

Cookies

This site does not set cookies. If you arrive by clicking one of our Google ads, Google adds a click reference to the page address. We keep that reference with your check, summary request or order, and send it back to Google so it can count which ads led to a check or an order. It identifies the ad click, not you, and we keep it no longer than the record it is attached to. Basis: our legitimate interest in knowing whether our advertising works. If we ever add cookies, we will ask first, they will only be set if you agree, and this notice will say so.

Your rights

You can ask us for a copy of the information we hold about you, ask us to correct it or delete it, object to how we use it, ask us to restrict it, or ask for it in a portable form. Email hello@venueprocedures.co.uk and we will reply within one month.

If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Changes

If we change this notice, we will update the date at the top.
